Policies and Procedures

ANNUAL MEMBERSHIP FEE (ANNIVERSARY FEE):  
All families will be charged an annual membership registration fee of $35.00.  This fee is non-refundable.  This is billed annually on the anniversary date of existing members.  *Any outstanding balances will result in a cancelled membership.

BILLING AND PAYMENT: 

Tuition is paid via direct debit from your major credit or debit card.  Payments will be charged the fourth Monday of the month for the following month's tuition.

Note:  Monthly tuition is based on four classes per month.  If there are five weeks in a month, the monthly tuition will reflect the additional class.  Families will not be charged for days MCG is closed.

Each family is required to maintain a valid credit card on file.  Any alternative payment methods must be made no later than the week prior to the tuition due date, or your credit card on file will be charged.  Late payments will be charged a $35 fee.  Delinquent payments will prevent students from participating in their scheduled class(es).  *There is a $30 administrative fee on all returned checks.

ABSENCES AND MAKEUP PROCEDURES: 

  • If your child will be absent, please notify us through the iCP App (“MagicCityGymnastics”), through our customer portal, or by calling our office at (406) 221-2424. Unexcused absences may not be eligible for a makeup class.

  • Your child may be eligible for one (1) makeup class per month for EXCUSED absences only. These may be scheduled by contacting our Hospitality Staff at (406) 221-2424.

  • Your child must be currently enrolled in a class in order to schedule a makeup class.

  • Once the makeup class is scheduled, it is considered made up whether or not your child attends the class. There is NO rescheduling of makeup classes.

DROP PROCEDURES: 
Parents must notify the office to drop a student from class no later than seven (7) days prior to the payment due date (the third Monday of the month).  Only a written notice via email, regular postal mail, or hand delivered to our front desk will be acceptable.

You are responsible for the payment of your student's classes (whether or not your student attends class) until the time you notify the staff VIA WRITTEN NOTICE. Please do not rely on your student to verbally let us know that he/she will no longer be attending classes. If a student stops coming to class without notification, the student's account will be charged for the next month. This charge will be for holding the student's place in that class instead of offering that place to a prospective student.

REFUND PROCEDURES:  

Cancellation requests must be in writing to contact@magiccitygymnastics.com no later than seven (7) days prior to the payment due date. 

  • Cancellation due to participant illness or injury:  Participant will be credited for the remainder of the classes AFTER written notification AND a doctor’s note has been received. 

  • No Shows (missed classes):  NO REFUND. 

  • In ALL cases the MCG membership fee is NON-REFUNDABLE. 

 

WHAT TO WEAR: 
Magic City Gymnastics follows the dress code set by USA Gymnastics.  We ask that our athletes follow this dress code by wearing a one-piece leotard or an athletic type shirt and shorts while attending class.  We prefer your child not to wear two-piece combinations that expose bare skin.  This may lead to hazards with spotting, and safety is always our first priority.  Thank you for your understanding and cooperation.

NO chewing gum or dangling jewelry.  Hair should be pulled neatly and securely away from the face.

Magic City Gymnastics is not responsible for ANY items that may be lost or stolen.

​

ARRIVAL AND PICKUP: 
Be sure your student arrives 5 minutes before (no earlier) his/her scheduled class time.  Children should be supervised by a parent before their class begins and after their class ends.  Please pick up your student on time.  Magic City Gymnastics is not responsible for unsupervised children.
